In preparation for working from home for some period of time, below you will find several tools that will be needed to work at home successfully. If you have questions or need assistance, please contact the FPI ITM Service Center at 4-1000 (667-214-1000). VERY IMPORTANT: Documents containing PHI should not leave the office. PHI can only be saved on company issued and encrypted computers. Also, PHI cannot be emailed to your personal email account.

To remote back to your work computer, you will need to take note of the computer name (displayed on a sticker on the computer) from your office computer. Also remember to leave your office computer turned on.

Network access

  • Not all employees need to connect to the corporate network to perform work functions. A Citrix connection is required for applications that reside only inside the FPI firewall. See the attached list for a broad example listing of applications that require a Citrix connection and those that do not. If you do not need a Citrix connection, please do not use a license that others will need. Also, please disconnect when not needed.
  • ALL forms of access (with or without Citrix) will require the use of DUO dual factor authentication. For those that do not already have DUO set up, use these instructions to register yourself and your device. THIS IS REQUIRED FOR REMOTE ACCESS OF ANY KIND!
  • Citrix for Remote Desktop
    • If you need a Citrix connection to remote into your work computer.
  • Applications within Citrix
    • If the application that you need to access is within the Citrix environment, you will need to access the Citrix Desktop.

Phone Calls

Phone calls can be handled in several ways.

  • If you do nothing, phone calls will go to voicemail and you will receive an email with the recorded message.
  • You can forward you phone to another number
  • You can set up Jabber on your cell phone and all calls coming to your office phone will be routed to your cell phone with a notation that the incoming call is from Jabber, indicating a work call (Applies only to phone numbers beginning with 667-214-xxxx).

Instant Messaging/Screen Sharing

  • To send quick messages to a colleague, Skype for Business (S4B) can be used. It is also used during conference calls to share your computer screen. S4B can be install on your home computer (if Office has been installed) so that using Citrix is not necessary to use the tool. The attached instructions are for installation and functionality. Skype for Business also has a phone application.

Work Files

  • To access personal work files saved on your work computer or on your P: drive without having to use a Citrix license, use OneDrive. Prior to leaving the office, you should move any files needed remotely to OneDrive.

Faxing

  • Sending a fax from an Office365 application (Word, Excel, PowerPoint, etc.). Outbound faxing requires connecting to the corporate network and remoting to your office computer.
  • Inbound faxing will now come into an Outlook email box that has been set up as an additional mailbox within the Outlook account of specified Executive Admin. Assistants (EAA). The EAA can forward the fax, print, or forward the email as appropriate.
